Can ChatGPT make a CRM for your small business?

ChatGPT can write the code for a simple tracker, but someone still has to host it, secure it, and connect texting and calling.

Key points

  • ChatGPT can write code for a basic contact database or spreadsheet tracker, but it does not host, secure, or run that software for you.
  • Texting through Twilio starts at $0.0083 per 160-character segment, and U.S. carrier fees and registration fees are added on top.
  • Sole-proprietor A2P 10DLC registration through Twilio lists at $4 plus $15 one-time, then $2 per campaign per month.
  • If you are covered by the FTC Safeguards Rule, you must keep an information-security program, whatever your company's size.
  • Compare your own build hours against a $45-per-seat HubSpot plan or a free account for up to two users before you commit.

ChatGPT can write the code for a basic contact database or spreadsheet-style tracker, but it cannot instantly deploy a fully hosted CRM with secure user logins, Twilio texting and calling, and data compliance. You still need a place to run the code, someone to maintain it, and a registered texting setup. Twilio alone lists U.S. texting at $0.0083 per 160-character segment, before carrier fees.

What can ChatGPT actually build for a CRM?

ChatGPT is good at producing the pieces of a simple tracker: a table layout, a form, a script that imports a spreadsheet, or a small web app. That is real help if you only need to track leads and follow-ups.

A CRM is more than code, though. It is software that has to stay online, keep customer data protected, and send messages that carriers accept. Writing the code is one step of several.

If a spreadsheet is all you need, read is Excel a CRM first. It may save you from building anything.

What does ChatGPT not do for you?

Use this list to see what still lands on you after the code is written:

  • Hosting: the app has to run somewhere, and that service has its own bill.
  • Logins: every user needs a secure sign-in, and you are responsible for how it is set up.
  • Texting and calling: you need a Twilio account, phone numbers, and carrier registration.
  • Data rules: you decide how customer information is stored, protected, and reported if something goes wrong.
  • Maintenance: when something breaks at 7 a.m. on a Monday, you or a developer fixes it.

This article does not put a dollar total on hosting, databases, backups, or monitoring, because those depend on the services you pick. Price each one before you start.

What does texting and calling cost if you build it yourself?

Twilio is the usual choice for adding texting and calling to a custom app. It supports the main U.S. number types a CRM needs: local 10-digit long codes, toll-free numbers, and short codes.

Twilio states that U.S. mobile carriers apply additional per-message carrier fees, and that those fees depend on the destination and mobile network operator. Twilio's examples are $0.0035 for outbound SMS on AT&T and $0.0045 on T-Mobile.

Here is what that looks like for a business sending 500 texts a month, assuming one segment each. The totals are our arithmetic from Twilio's published numbers, as of October 2026:

ItemRate500 texts per month
Base U.S. SMS segment$0.0083$4.15
Base plus AT&T carrier fee$0.0118$5.90
Base plus T-Mobile carrier fee$0.0128$6.40
Voice call to a local number$0.0140 per minute$1.40 for 100 minutes

Twilio says U.S. SMS pricing starts at $0.0083 per outbound message and voice calling starts at $0.0140 per minute to a local number. Your actual rate can differ, so check Twilio's pricing page before you budget.

What is A2P 10DLC and what does registration cost?

Twilio defines A2P 10DLC as a U.S. carrier standard meant to ensure that SMS traffic sent through long-code numbers is verified and consensual. Twilio also says unregistered traffic from a Twilio 10DLC number receives additional carrier fees.

For a sole proprietor, Twilio lists a $4 one-time brand registration fee, a $15 one-time campaign vetting fee, and $2 per campaign per month. In year one that is $19 plus $24, or $43 in registration costs.

Twilio's help center explains that 10DLC fees include registration fees and per-message carrier fees, charged by carriers and passed through to customers. Those carrier fees are added to Twilio's standard U.S. messaging pricing.

Twilio's SMS API includes tools for A2P 10DLC registration, campaign approvals, toll-free verification, and opt-out management. Your app still has to call those tools correctly, which is more work for whoever builds it.

What are the steps to build a lightweight CRM with ChatGPT?

If you still want to build, keep the first version small. Here is a sequence that keeps you from getting stuck:

  1. List your fields. Start with Name, Phone, Email, Source, Stage, Next Follow-Up Date, and Notes.
  2. Name your stages. A simple set is New Lead, Contacted, Quoted, Won, and Lost.
  3. Ask ChatGPT for a schema. Paste your field list and ask for a table design, then ask for a small web app or a spreadsheet-style base that uses it.
  4. Test with fake data. Enter 10 made-up contacts and move them through every stage before you use a real customer.
  5. Decide where it runs. Pick a host and a login method, and write down what each costs per month.
  6. Add texting last. Register your sender first, then connect the app.

Check OpenAI's current API pricing and limits on its own documentation pages before you budget for any API calls. This article does not quote them because they change, and a ChatGPT subscription is not the same thing as API access.

Do data rules apply to a homemade CRM?

They can. The FTC says its Safeguards Rule requires covered companies to develop, implement, and maintain an information-security program with administrative, technical, and physical safeguards for customer information.

The rule applies to financial institutions subject to FTC jurisdiction that are not under another regulator's enforcement authority under section 505 of the Gramm-Leach-Bliley Act. Covered companies must notify the FTC as soon as possible and no later than 30 days after discovering a notification event.

Size does not exempt you. The FTC's rulemaking materials say the rule applies equally to entities with assets of $100 million or less.

Whether your business is covered depends on what you do. Texting rules also depend on message type, consent, opt-out handling, and sender type. Ask a lawyer or accountant about your own situation.

Is open source a safer way to use AI for custom modules?

For many owners, yes, because you are adding a small piece to software that already exists instead of writing every part yourself. You can ask ChatGPT to draft a custom field, a report, or a reminder rule for that system.

We are not comparing specific open-source products here. Before you pick one, ask four questions:

  • Who hosts it, and what does that cost per month?
  • Who applies updates and fixes security problems?
  • Can it connect to Twilio, and who registers your sender?
  • Who reviews the AI-written module before real customer data touches it?

Test every AI-written module on fake contacts first. Keep a copy of your data before each change.

How does building compare with buying?

Time is the real cost. We can't give a general estimate of build time, because it depends on your requirements, the skill of whoever builds it, integrations, testing, and compliance needs. Track your own hours instead.

Say you value your time at $50 an hour, which is only an example. A three-user HubSpot Smart CRM plan, at $45 per seat per month, comes to $135 a month. That equals 2.7 of your hours every month, before you count hosting, Twilio, and fixes on a custom build.

Some platforms bundle texting and calling. AttackDesk has a pay-as-you-go option with no monthly fee, where a text costs 3.1 cents and a call costs 5.8 cents a minute. Its monthly plans are $29, $79, $197 and $329, priced per company rather than per user.

It also submits a business's carrier registration for texting, with a one-time setup fee of $27 for low-volume and sole-proprietor registration or $69 for standard registration. Each company gets its own app code that it can change with its own AI tools or a developer, which is the same idea as a custom module without building from scratch.

What should you do next?

  • Write down your fields and five stages.
  • Count how many users need access. Two or fewer may fit a free account.
  • Estimate monthly texts and call minutes, then multiply by the rates above.
  • Add $43 for year-one sole-proprietor registration if you plan to text.
  • Decide whether you or a developer will maintain the build.
  • Verify all prices again, since vendor pricing and carrier fees can change.

Common questions

Can I create my own CRM with AI?

You can use AI to write the code for a simple tracker, such as contacts, stages, and follow-up dates. You still need hosting, secure logins, and a registered texting setup before it works like a full CRM.

Can ChatGPT build me an app?

ChatGPT can draft the code for a small app, but it does not host or maintain that app for you. You or a developer must test it, deploy it, and keep it running.

How much does it cost to develop a CRM?

There is no single number, because hosting, database, backups, and security work depend on your choices. The costs we can verify are Twilio's: $0.0083 per SMS segment plus carrier fees, $0.0140 per voice minute, and $4 plus $15 one-time with $2 a month for sole-proprietor registration.

How long does it take to build a CRM?

It depends on your requirements, the builder's skill, integrations, testing, and compliance needs. Track your own hours on a small version and compare them to a plan like HubSpot's $45 per seat per month.

How can ChatGPT contribute to improving customer relationship management in business?

It can help you draft code for custom fields, reports, and reminder rules, or write the first version of a follow-up message. A person should review anything it produces before it touches real customer data or goes out to customers.
