Web Connector is a small Intuit program that sits on your Windows computer and lets a web application exchange data with QuickBooks Desktop. Your CRM lives online, your company file lives on your computer, and Web Connector is the bridge between them.
That bridge is why a few settings are specific to your CRM. The .qwc file, the Web Connector password and the sync schedule come from your CRM vendor, so get those from your vendor's own help pages. The Intuit steps below are the same no matter which CRM you use.
How do I install the QuickBooks Web Connector?
Intuit lists the install in a short sequence. Follow it in order, per Intuit's Web Connector setup article:
- Close QuickBooks Desktop.
- Download the latest Web Connector version from the Intuit Developer site.
- Extract the downloaded ZIP file.
- Run QBWebConnectorInstaller.exe as administrator.
- Accept the license terms.
- Install the program.
- Select Finish.
Use the latest version rather than an old installer you found on a shared drive. If you have several inspectors, install it once on the computer that holds the company file, not on every laptop.
How do I configure Web Connector for a desktop-based inspection setup?
Keep QuickBooks Desktop and Web Connector on the same computer. In Intuit's documented procedure for another connected app, the company file is opened as the administrator in single-user mode. Plan on the same for your first connection and for any update.
Then connect your CRM using Intuit's steps:
- Sign in to QuickBooks Desktop as the administrator.
- Open File > App Management > Manage Web Apps.
- Select Set up next to your CRM.
- Sign in on the CRM's website.
- Select Connect to QuickBooks.
- Select Done on QuickBooks Desktop's Access Confirmation screen.

What should I set up in QuickBooks before the first invoice syncs?
Set up sales tax first, even if you think you don't charge it. Per Intuit's sales tax setup guide, QuickBooks Desktop needs sales tax enabled before it can apply tax to anything.

QuickBooks Desktop also creates two sales tax codes automatically when you turn tax on: TAX and NON. They separate taxable from nontaxable sales and customers on your reports.
Once tax is set up, QuickBooks calculates and charges it on invoices, sales receipts and other sales forms. Your accountant should confirm the accrual or cash choice before you pick it.
Which states tax home inspections, radon and mold testing?
This article can't tell you, and neither can Intuit's setup guide. Intuit explains how to configure tax in the software. Whether a residential inspection, a radon test or a mold test is taxable depends on your state's revenue authority and statute.
Look up each service on your state revenue department's website, then record the answer per service. A simple worksheet works:
- Service name, such as general inspection, radon test or mold test.
- Taxable or not, with the date you checked.
- Which QuickBooks code applies (TAX or NON).
- Which Sales Tax Items apply, if you work across county or city lines.
If you work in more than one state, repeat the worksheet for each. Rates and rules can change, so recheck it each October.
How do I map ancillary services like radon testing to QuickBooks income accounts?
Mapping is a decision you make, not a rule set by Intuit. A common approach is one QuickBooks item per service, with each item pointed to an income account you choose. For a sample invoice, that might be a $450 inspection fee and a $150 radon add-on landing in two different accounts, so your profit reports show each service line separately.
Each item also carries a tax code, TAX or NON, based on your state worksheet above. Build the items in QuickBooks first, then make sure each CRM service name matches the item the CRM sends. Your vendor's documentation tells you where that matching happens.
Ask your accountant how many income accounts you actually want. Three or four are easier to read than fifteen.
How much do integration add-ons cost?
As of October 2026, we have not verified a current price for any inspection CRM's QuickBooks add-on, so we won't print a number that may be wrong. Ask your vendor for three things in writing:
- The monthly or annual price of the QuickBooks connection.
- Whether it covers QuickBooks Desktop through Web Connector, QuickBooks Online, or both.
- Whether the price changes with the number of inspectors.

How do I test the connection before real clients are billed?
Run three test jobs in a copy of your company file if you can, or mark them clearly if you can't.
- A plain inspection with no add-ons, to confirm the income account and tax code.
- An inspection plus a radon add-on, to confirm each line lands in its own account.
- A canceled and refunded job, to see which entry QuickBooks receives.
QuickBooks Desktop supports invoices, customer payments, credit memos, cash refunds and credit-card refunds as transaction categories. Look at which of those your test produces, and compare the totals to your payment processor's report.
