Key points
- Yes, you can build your own CRM. The five realistic paths are spreadsheets, no-code platforms, self-hosted open-source software, custom development, and API-extensible CRMs.
- As of November 2026, the Google Sheets API allows 300 read and 300 write requests per minute per project, and 60 of each per user per project.
- A Sheets API batch request, including all its subrequests, counts as one request toward the limit.
- Hosting, build, and maintenance costs depend on your setup, so total them before you decide.
- Build only if measurable gains (labor saved, extra gross profit, less leakage, avoided fees) beat all your costs.
Yes, you can build your own CRM. There are five realistic paths: a spreadsheet, a no-code platform such as Airtable, self-hosted open-source software, custom development, or an API-extensible CRM. If you start in Google Sheets, the hard numbers are 300 read and 300 write requests per minute per project, and 60 of each per minute per user per project, as of November 2026.
What are the five ways to build your own CRM?
- Spreadsheet. You build tabs for contacts, deals, and activities, and you do the follow-up by hand.
- No-code platform. You design a relational database with forms and views, without writing code. Airtable is a common example.
- Self-hosted open-source software. You install existing CRM code on a server you control and keep it running.
- Custom development. You or a developer write the application from scratch.
- API-extensible CRM. You buy a CRM and add the missing pieces yourself through its API.
Each path trades monthly fees for your time, risk, and upkeep. Our page on how to build your own CRM for free covers the lowest-cost starting point.
How do you build a CRM in a spreadsheet?
Start with three tabs: Contacts, Deals, and Activities. Give every contact a unique ID so deals and activities can point back to one record.
Use these columns in Contacts: ID, Name, Phone, Email, Source, Owner, Last Contact Date, and Next Follow-Up Date. In Deals, use: Deal ID, Contact ID, Value, Stage, Expected Close Date.
Set Stage as a dropdown with five fixed values: New, Contacted, Quoted, Won, Lost. A dropdown stops typos like "quoted" and "Quote sent" from splitting your reports.
Then add a filter on Next Follow-Up Date and review it every morning. If you prefer Excel, read whether Excel counts as a CRM first.
What Google Sheets limits will you hit?
The limits matter once you connect forms, scripts, or other apps to your sheet. Google publishes them on its Sheets API usage limits page.
| Limit | Per project | Per user per project |
|---|---|---|
| Read requests per minute | 300 | 60 |
| Write requests per minute | 300 | 60 |
Google also says a request that runs longer than 180 seconds returns a timeout error.
Within those per-minute quotas, there is no daily limit on the number of requests.
What does that mean for a small team?
If one script writes one row per request, it tops out at 60 writes per minute for that user. Importing 500 leads that way takes at least nine minutes (500 divided by 60).
A batch request fixes this. Google counts each batch request, including its subrequests, as one request toward the limit. The same 500 rows sent in one batch count as a single request.
The 300-per-minute project cap also means five users working at the full 60-per-minute rate would use it all (5 times 60 equals 300).
What does the Sheets API cost?
Standard use of the Sheets API is available at no additional cost. That includes staying inside the per-minute quotas.
Google also says that exceeding the quota limits is planned to incur charges to your Google Cloud billing account later in 2026. If you rely on automations, build in batching and retries now, and check Google's page for the current billing terms.
The Google documentation does not say when a spreadsheet stops being the right tool. You decide that by watching record volume, how many people edit at once, permissions, automation, and reporting.
How do no-code, open-source, and custom builds work?
No-code platform
The steps mirror the spreadsheet, but with linked tables. Create tables for Contacts, Deals, and Activities, link them, add a Stage field with the same five values, then build a view of deals by stage. Subscription tiers and record limits change, and some plans require contacting sales, so check the vendor's current pricing page before you design around a tier.
Self-hosted open-source software
You pick a product, rent a server, install it, set up the database, and configure backups and security. Hosting is not one price. AWS charges vary by region, instance type, operating system, storage, database, data transfer, backups, and usage. A low starting price on a hosting plan is not the total cost of running a production CRM. Add your own time for updates and fixes.
Custom development
Write down your Stage names, required fields, user roles, and integrations before anyone writes code. Cost depends on scope, who builds it, hosting, security work, and ongoing maintenance. We do not give a universal price or timeline here, because those vary too much by project. Get written quotes against your own requirements list.
How does an API-extensible CRM compare?
With this path, you buy a CRM and extend it with scripts or connected tools. You skip building the core records, but you work inside the vendor's rules.
- List the one or two things your current tool cannot do.
- Find the vendor's API documentation and read its usage limits, the way Google publishes its Sheets limits.
- Test the workflow with a small batch of real records.
- Decide who fixes it when it breaks.
You can see the options side by side in our comparison of 18 CRMs.
Can you build a CRM with AI?
AI can help you draft formulas, field lists, or code. It does not remove the limits above, and someone on your team still has to review, test, and maintain what it produces. Our article on what ChatGPT can and can't build goes through the specifics.
Is building your own CRM worth it? An ROI framework
Compare the gains you can measure with every cost you will actually pay. Use this worksheet:
- Gains per year: labor hours saved times your hourly cost, plus additional gross profit from faster follow-up, plus revenue you stop losing from missed leads, plus the software fees you avoid.
- Costs per year: subscriptions, hosting, implementation, maintenance, training, security, data migration, and downtime.
- Net result: gains minus costs, over 12 months.
Run the same math for buying an existing CRM. The honest comparison is build versus buy, not build versus nothing.
Fill in every line with your own numbers. If you cannot estimate a gain, such as leakage, treat it as zero until you can measure it.
Should you build or buy?
Build if you answer yes to most of these:
- Your process is unusual enough that standard stages (New, Contacted, Quoted, Won, Lost) do not fit.
- Your net result from the worksheet is positive for the build and worse for buying.
- You have a named person who will maintain it.
- Fewer people edit it than your platform's limits allow, such as the 60-per-minute per-user cap if you use Sheets automation.
Buy if the build only saves a subscription fee and adds upkeep you have not priced. Start with the four types of CRM to see what you would be replacing.
Common questions
Should I build my own CRM?
Build only if your measured gains (labor saved, added gross profit, reduced leakage, avoided fees) exceed all costs, including hosting, maintenance, training, security, migration, and downtime. If the main benefit is skipping a subscription, buying is usually the safer comparison.
Can I build my own CRM with AI?
AI can help draft field lists, formulas, and code, but a person still has to review, test, and maintain the result. Any tool it produces is still subject to platform limits, such as the Google Sheets API's 60 requests per minute per user per project.
How much does a custom CRM system cost?
It depends on scope, who builds it, hosting, security, and maintenance, so we do not publish a single figure. Write a requirements list, get written quotes, and add yearly hosting and upkeep before comparing against a subscription.
Can I create my own CRM with Excel?
Yes, you can set up contacts, deals, and activities in a workbook using unique IDs and a fixed Stage dropdown. Our page on whether Excel is a CRM explains where it fits.
How long does it take to build a CRM system from scratch?
The time depends on your requirements, integrations, who builds it, and how much testing you do. A spreadsheet setup is the quickest path, while custom development needs a written scope before anyone can estimate it.
